One workspace, or a stack of tools?

An honest look at what Dossierly replaces and how it compares with other immigration CRMs that RCICs use, with sources for every fact.

Dossierly vs the DIY stack

Many practices run on a booking tool, an e-signature tool, and a shared drive, with spreadsheets and email in between. Here is what those tools cost per staff user at public list prices, and the work they still leave for you to do by hand.

  • Calendly Standard

Online booking, with Stripe or PayPal payments

US$10 per seat per month, billed yearly

  • Docusign Standard

    Retainer agreements and e-signature

CA$40 per user per month, billed yearly (CA$33 the first year)

  • Google Workspace Business Standard

    Shared drive for client documents

CA$18.40 per user per month, one-year commitment

With separate tools, you still do this by hand

  • Filling IRCC PDFs by hand, form by form, from answers collected by email or in a spreadsheet.
  • No client portal: documents, questionnaires, and invoices arrive as attachments you have to chase.
  • Three logins and three copies of each client. Booking, signing, and documents don’t talk to each other, or to your payments.

Dossierly: one workspace

Booking, retainer agreements with e-signature, payments through your own Stripe or Square account, IRCC PDF filling, and a client portal — $79 per month for the first staff user, then $39 per extra user. Founding firms pay $59 and $29.

Keep your Stripe or Square account: Dossierly connects to it to take payments, so it is not a cost you drop. They still charge their own processing fees on client payments; we take no cut. If you already pay for Google Workspace for email, you would keep it.

What you gain beyond the price

Saving on subscriptions is only part of it. Here is what changes day to day when your practice works from one place.

  • Client files stay protected

Passports, SIN numbers, and answers are encrypted with your firm’s own key and stored in Canada. Staff can use two-factor sign-in, and sensitive actions are recorded in a log no one can edit.

Instead of: passports sent as email attachments and shared-drive links anyone can forward.

  • Everything about a client in one place

Open a file and see the documents, questionnaire answers, signed retainer agreement, invoices, notes, and appointments together. Anyone on your team can pick up where a colleague left off.

Instead of: searching inboxes, folders, and spreadsheets to answer one question.

  • Type it once

Clients answer one questionnaire and those answers fill the IRCC forms. A booking can send the retainer agreement for signature, and each payment creates its invoice and receipt with the right sales tax.

Instead of: copying the same details into every form, invoice, and email.

  • A smoother experience for clients

Clients book, sign, pay, answer questions, and upload documents in one portal, in English, French, or Spanish. They can see what is still missing without having to ask.

Instead of: long email threads and “did you get my file?” follow-ups.

  • Always know the next step

The dashboard lists what needs you today: documents to review, unpaid invoices, files that are stuck, and today’s meetings. Overdue invoices send their own reminders.

Instead of: keeping track of follow-ups in your head or on sticky notes.

  • Records ready for a review

Closed files (closed by staff or on a final decision) are kept for the six years the CICC requires, then can be destroyed and recorded in a destruction register. Same steps for every file, whoever handles it.

Instead of: hoping every folder was kept, and deleted, the right way.
